Summary
This part-time, virtual position is for bookkeeping services involving all activities that fall under accounts receivable, accounts payable, reconciliation, and reporting. A successful bookkeeper ensures that all books are accurate and up-to-date on a monthly basis.
Candidate will be responsible for assisting in defining bookkeeping processes based on best practices as outlined by our accountant. Once processes are defined you are responsible for ensuring that these processes are followed. This position will have all reports compiled and delivered to management on time and will ensure that they are accurate.
A background check is required.

Personal 30 (includes 3 rental properties that must be classed properly)

4+ years experience with QuickBooks
Know how to reconcile accounts at end of month
Know how to download statements from bank and credit card sites
Know how to properly class and categorize entries
Know how to set up budgets
Know how to generate various reports based on management requirements

SCOPE OF WORK
Asset Tracking and Maintenance
Establishes and manages a system to track all assets of the company.
Track the depreciation of all assets and purchases according to recommendations made by companys accountant.
Affiliate order tracking
Responsible for the verification and accuracy of all reported sales made by sales representatives - monthly. Directly manages commission calculations and reports commission payments to client.
Basic Tasks
Learn categories for repeating payments
Set up all repeating tasks as automatic
Tracks each division sales and expenses separately: divisions= 1. Energy; 2. Pharma and Biotech
Budgeting
Assist client with budget set up
Budget report monthly
Classification and Categorization
Must understand how to correctly class for tax purposes three rental properties in the Personal books
Communication
Interact with Accountant on account and tax issues
Responds to communication from Accountant and Management by end of next business day
Communicates all issues and questions immediately via email or Instant messenger to management
Reconciliation
Accounts balanced and reconciled to the penny by the last day of each month for previous month
Reporting
P&L and IE by last day of month for previous month
Help create, manage, and update new reports that are needed by client.
Backup all files by last day of each month
Upload all files to secure server for client and accountant download by last day of each month
Provide quarterly report of affiliate and publisher sales to management
Sales/Order entry:
Download orders from online order system monthly
Verifies merchant account expenses by logging into merchant account and checking against each order
Taxes
Collect W-9s from contractors and deliver to Accountant by January 15th.
Annually calculates, processes and files 1099 and 1096s by due dates
Pay tax obligations online per Accountants directions, 2 days prior to due date and no sooner
Annually closes books and prepares everything needed by our accounting firm for taxes. This must be done no later than Feb 15th.
Responsible for closing the books on an annual basis and compiling information needed by our accounting firm to file taxes.
